    How an AI workflow runs

    An AI workflow runs in fixed steps. The AI only sits where text has to be read and understood – the rest are ordinary, defined process steps.

    The AI reads the content, recognises the request and extracts the relevant data, from free text and scans too.

    Fixed rules validate the result. If the AI isn't confident enough, the case goes to a human.

    Not every process needs all five steps in full depth. We often start with a single use case, such as email triage, and only expand once the first step has proven itself.

    The questions that always come up in a first call.

    It happens, and that is exactly what the workflow is built for. The AI works with confidence thresholds: if it isn't sure enough, the case goes to a human instead of proceeding automatically. Critical steps such as sending quotes always run through an approval, and every result is traceable in the log. We don't build AI that communicates externally unchecked.

    We settle this before the first line of code. Depending on your requirements, we use EU-hosted models or models with a data processing agreement, minimise the data that reaches the model and document the processing. Personal data only leaves your systems where this is agreed and legally sound.

    A first, clearly scoped workflow costs a one-off project fee plus ongoing model costs of usually a few cents per processed case. We calculate both in concrete terms before we start. And if automation doesn't pay off at your volume, we'll advise against it.

    A first use case, such as email triage or extracting incoming invoices, is usually live within a few weeks. We start small, measure accuracy against your real data and only expand once the first step runs reliably.
